Refund policy

1. Introduction
The AI for Uganda Initiative ("we," "our," "us") is dedicated to providing high-quality, specialized instruction in artificial intelligence and data science. We understand that circumstances may arise where you need to withdraw from a program or cancel a service. This Refund Policy outlines the milestones, timelines, fees, and procedures for requesting a refund.
2. Cohort tuition refund windows
For individuals enrolled in our standard cohort training courses (e.g., Foundational AI and Data Science, Advanced Machine Learning, AI for Industry Applications), the following refund policy applies:

The class start date is defined as the official day of the first scheduled lecture, seminar, or workshop for your cohort as indicated in your admission notification.
3. Corporate and bespoke training services
For custom, private-group, or corporate training programs tailored for enterprises or government agencies, the refund terms are as follows:
- A 50% booking fee/deposit is required to secure and schedule a bespoke cohort. This deposit becomes fully non-refundable once the dates are finalized and instructors are allocated.
- If the client cancels or requests a postponement less than fourteen (14) days prior to the training commencement, the remaining 50% training fee is due and payable, or a postponement charge will apply depending on scheduling availability.
4. Non-refundable services and transactions
Certain items, services, and transactions are strictly non-refundable under all circumstances:
- Data API subscriptions: Monthly, quarterly, or annual subscription fees for access to our localized data repository or API endpoints are non-refundable. You can cancel your subscription at any time to halt future billings, but no prorated refunds will be issued for remaining unused days in the billing cycle.
- Individual learning portal access fees: Registration fees, server compute resource allocations, or administrative portal access tokens.
- Philanthropic donations: All charitable donations, research grants, and ecosystem sponsorships made to the AI for Uganda Initiative are immediately directed to our community programs and are fully non-refundable.
5. Refund request and processing procedure
To request a refund under an eligible category, you must follow this formal procedure:
- Submit a formal email request directly to our billing desk at info@aiforuganda.org.
- The subject line must read: Refund Request - [Your Name] - [Cohort/Course Name].
- In the body of the email, you must include your full name, student registry ID, receipt number, date of payment, and the specific reason for requesting withdrawal/cancellation.
- Our accounts team will review and verify your request against cohort milestones. If approved, refunds are processed within fourteen (14) business days.
6. Method of refund and administrative fees
- All approved refunds will be issued via the original payment method where technically feasible. For payments made in Uganda, refunds are typically processed via Bank Transfer or Mobile Money (MTN/Airtel).
- 5% Administrative Processing Fee: All approved refunds (including 100% and 50% refunds) are subject to a flat 5% deduction from the refund value. This covers bank transaction fees, clearing platform costs, and administrative efforts involved in student registry adjustments.
- We are not responsible for any additional transaction fees, currency exchange fluctuations, or taxes charged by your local bank or financial institution during the transfer.
7. Cohort cancellation or rescheduling by us
In the rare event that we must cancel a cohort or indefinitely postpone a program due to unforeseen technical failures, instructor unavailability, or state mandates, you will be offered the choice of:
- A 100% full refund of the tuition paid, with the 5% administrative fee completely waived.
- An automatic transfer of your enrollment to the next available cohort of the same program.
